1. Who we are
Colchester Express ("we", "us", "our") is the data controller for the personal information described in this policy. You can contact us at bookings@colchesterexpress.co.uk or 07588 004600, or by post at 3 Aurora Drive, Colchester, Essex CO2 9GT.
2. What information we collect
When you request a quote, make a booking, or contact us — online, by phone, or by message — we collect the details you provide, which may include your name, phone number, email address, and pickup/drop-off addresses. If you book by phone, the same categories of information are recorded manually.
3. How we use your information
We use your information to arrange and deliver your journey, confirm bookings, contact you about your journey (for example, to update you on driver arrival or flight delays), respond to enquiries, and keep basic records for invoicing and legal/accounting purposes. We do not use your information for automated decision-making or profiling.
4. Our lawful basis for processing
We process your information because it's necessary to perform the contract with you (arranging your journey), to comply with our legal obligations (such as record-keeping for tax purposes), and, where you contact us with a general enquiry, on the basis of our legitimate interest in responding to it.
5. Who we share it with
Your booking details are shared with the driver assigned to your journey, solely so they can carry it out. We do not sell your personal information to third parties. We may share information with service providers who help us run the business (for example, email or booking-notification services), who are only permitted to use it to provide that service to us, and with authorities where required by law.
6. How long we keep your information
We keep booking and contact records for as long as necessary to fulfil the purposes described above and to meet our legal and accounting obligations, after which it is securely deleted.
7. Your rights
Under UK GDPR, you have the right to ask us for a copy of your personal information, to correct inaccurate information, to ask us to delete it, to restrict or object to certain processing, and to receive your information in a portable format. To exercise any of these rights, contact us using the details above.
8. Cookies
This website does not currently use tracking or advertising cookies. If that changes (for example, if analytics are added in future), this policy will be updated to explain what's used and how to control it.
9. Security
We take reasonable technical and organisational measures to protect your personal information against unauthorised access, loss, or misuse.
10. Children
Our services are not directed at children, and we do not knowingly collect personal information from children beyond details a parent or guardian provides as part of a booking (for example, when booking a family journey).
11. Changes to this policy
We may update this policy from time to time to reflect changes in our practices or legal requirements. The version published on this page is always the current one.
12. Contact us and complaints
Questions or concerns about this policy can be sent to bookings@colchesterexpress.co.uk. If you're not satisfied with our response, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
